Bulk upload can streamline your get-started if you previously managed your products:
- in an Excel table;
- in another inventory management system and can export products to the CSV (comma-separated value) file.
Bulk upload is automated and prevents you from making mistakes while adding products manually one by one. Moreover, if your file contains stock level information, Kladana automatically adds Stock Adjustment to the system.
To prepare your data for import, we suggest downloading a sample Excel file from Kladana and filling it.
- Sign in to Kladana.
- Click the user icon and select Settings → Import.
- Click Upload and, in the drop-down list, select Products and stock.
- In the opened window, click Excel-file sample.
- When a sample file downloads to your computer, drag-and-drop it to the upload area.
Prepare your file for import
The importing process is sensitive to certain data columns in the table. To import data correctly, your file should comply with the following conditions:
- Contain the required column Name, without it nothing will be imported. If some of the product names in your table are not unique, your file should contain the SKU column. Otherwise, importing products with duplicate names will be incorrect.
- If you keep services among products, your file should contain the Type column. It defines whether an item is a product or a service.
- If you keep product variants, your file should contain the SKU column. It defines whether an item is a unique variant. Also, your file should contain columns Feature: <Option> for each attribute your products have. It’s responsible for the correct importing of product variants.
- If you sell several products as packs, your file should contain UOM and Packaging:<UOM> columns. They are responsible for the measurement of your packing unit and the number of items in it.
- If you want to import product groups, your file should contain the Folders column. If your groups also have subgroups, write them in one string and split them using forward slashes. For example, ″Branding/Accessorise″, where ″Branding″ is a parent folder and ″Accessories″ is a subfolder.
- If you want to upload images, your file should contain the Image column with direct links to these images. You can use any Image Hosting you like.
If you want to add multiple images for a product or a variant, separate links to images with a semicolon.
If there is something unclear in the list of conditions, you can simply use the image below as the reference to properly prepare your data for import.
Import your file
Only when you’ve prepared your file the right way, you are ready to import it to Kladana. If your file is greater than 10 MB, split it into two parts and upload them in turn.
- Click Import and in the drop-down list, select Import from Excel.
- Choose the file in the XLS or CSV format or drag and drop it to the upload area.
- Ensure that data in the uploaded columns match the data type in the drop-down lists above them.
- If you don’t want any column to import, in the drop-down list above this column, select Do not upload.
- Select the company and warehouse to store your products.
- Click Start Import.
The time required to complete import depends on the number of items in the products list. When the import finishes, you get a notification.
You can also use this feature to bulk update existing products.
