Use events to consolidate information about counterparties and track interactions with clients and colleagues in one place. Events ensure continuity of information, even if an employee is absent. You can add notes to events with relevant details such as negotiations and agreements.
The events allow you to:
- Maintain a record of communications with counterparties and colleagues;
- Log all calls, emails, and meetings;
- Access and review your own entries and colleagues’ notes.
You can create events and generate an event feed in the counterparty cards and in the following transactions: Receiving, Sales Order, Sales Invoice, Purchase Order, Supplier Invoice, Purchase Return.
Create event in counterparty card
- In the Kladana workspace, select Counterparties → Customers & Suppliers.
- Select the counterparty from the list or create a new one.
- In the opened window, navigate to the Events tab, enter the necessary information in the New note field.
- Click Write. The created event is displayed in the events feed. The feed shows all entries related to the transaction in chronological order.
An event can be edited and deleted, but only by the event author and administrator.
Create event in transactions
You can create events and generate an event feed for all transactions using the new design.
Let’s take a Sales Order as an example to see how to create an event.
- In the Kladana workspace, select Sales → Sales Orders.
- Select the Sales Order counterparty from or create a new one.
- In the opened window, navigate to the Events tab and enter the necessary information in the field. To ensure your colleague sees the note, type @ and begin entering part of the name, surname, or login of the colleague. Then select the correct colleague from the suggested list.
- Click Write. The created event is displayed in the events feed. The feed shows all entries related to the transaction in chronological order.
Any event can be deleted. Events that do not mention colleagues can also be edited. Both options are available to the event author and administrators.
Tracking events in transactions
You can track events in transactions using notifications. To receive notifications about a transaction’s events, open the transaction and click Following on the Events tab.
Notifications about transaction events are also sent automatically to:
- the employee mentioned (@) in the transaction,
- the event author,
- the transaction owner.
You can unfollow any transaction at any time by clicking Follow on the Events tab. You can resubscribe to the transaction later if needed.
Notifications can be received via email, browser, or mobile app. Choose your preferred method in the notification settings.
Chats
All transaction events are displayed in the Chats tab. Here you can edit and delete events, tag your colleagues, and reply to their messages — just like in the event feed. Your colleagues will see your notes in their own Chats.
You can unsubscribe from any chat or subscribe to it again at any time. To open Chats, click the icon in the upper-right corner of the screen.
