Products with Serial Numbers

A serial number is a unique identifier assigned to a product unit to uniquely identify it. It is often used in electronics sales to control the products movement.

In Kladana you can use serial numbers for product tracking. First enable the option for the specific product, then create Receiving or Stock Adjustment with this product, and specify serial numbers in the item line for it.

Kladana does not generate serial numbers. You should add them in the system manually.
You cannot use products with serial numbers in Production. Products tracked by serial numbers cannot be used as components or finished products.

Enable tracking by serial numbers

  1. In the Kladana workspace, select Inventory → Products and Services and select the product in the list.
  2. In the Advanced Inventory Tracking section, select Type — Track by Serial Numbers. track_by_serial_numbers.png
  3. In the pop-up window, click Yes.
  4. Click Save.
Once the option is turned on you cannot disable it. You should specify serial numbers of a product in all transactions related to the product — in Sales Orders, Receivings, Shipments.

Add serial numbers to Receiving or Shipment

You can add a product with serial number to Receivings and Shipments. Let’s consider the process on the example of a Shipment.

  1. In the Kladana workspace, select Sales → Shipments.
  2. Click +Shipment.
  3. Add a product tracked by serial number to the transaction.
  4. Specify serial numbers of the product units added. Click icon_add_serial_number.png — all the product serial numbers are automatically entered in the field.
    The quantity of product units tracked by serial numbers cannot exceed the quantity of the serial numbers.
  5. Delete unnecessary numbers. Click Save. shipment_add_serial_number.png
  6. If you need to edit the serial numbers, click on the Qty to ship field. shipment_edit_serial_number.png
  7. Click Save.

Add serial numbers to Sales Return

  1. In the Kladana workspace, select Sales → Shipments.
  2. In the list of the Shipments, select the one you want to create a Sales Return from.
  3. Click Add Related and select Sales Return from the drop-down menu.
  4. Click on the Qty to ship field and edit the serial numbers list. Keep serial numbers of the product units you want to return, the other numbers should be deleted. Click Save. shipment_edit_serial_number2.png
  5. Click Save.

Serial Numbers Report

Use Serial Numbers Report to check the quantity of product units with serial numbers at the warehouse. In the Kladana workspace, select Inventory → Serial Numbers.

To display the serial numbers of sold product units in the list, click Filter and select Yes in the Show Out of The Storage Serial Numbers field. serial_number_report.png

To see the movement of a product unit in detail, click on the line of the serial number in the list. serial_number_report_in_detail.png

Kladana allows you to sell products tracked by serial numbers even though they are not indicated in stock.
Sale costs of products tracked by serial numbers are calculated according to FIFO.
